SS: Timesheet Info Sheet for HQ

This guide will provide you with help information regarding your timesheets in HQ

General Information

  • You will need to check the Therapist Review tab by the end of the pay period to resolve any issues (by the 15th or last day of the month).

  • Example issues:

    • Duplicate event (documentation, meeting, session, assessment, etc.).

      • Alexis Kasun or your manager will be in touch with you about this error in order to resolve it by the end of the pay period.

    • Logging not completed.

      • You need to complete and confirm logging for the event by the end of the pay period for that event to be included in your pay, if not, it will be pushed to the next pay period.

      • DO NOT click the logging checkbox if the session is not logged, we audit for that and we will still push the event to the next pay period.

  • When events are showing under Manager Review, the management team is reviewing any of the issues listed. You may receive communications from [email protected] asking for more details about the issue.

  • Final Review is where all events are sent after they’ve been approved - they will remain here until payroll is processed.

  • Once payroll is processed, all events from Final Review are pushed to the Paid tab.

How to review a breakdown of your current pay

  • Go to the Finance tab from the left-hand menu and select Timesheets.

  • You may have events sitting in the Therapist and Manager Review pages.

  • If you click on Final Review, you will see events that are going to be included in the upcoming pay.

    • *Please note that the Final Review tab is not going to reflect the final product of your pay because events move around the different tabs until timesheets are completed at the end of the pay period.

  • Understanding the time and amounts listed:

    • Completion Minutes: Time entered in “Time Spent” box on the event page

    • Adjustment Minutes: The minutes added to your session based on the organization’s tier (only applied for sessions that are completed successfully)

    • Billed Minutes: Same as Completion Minutes - time entered in the “Time Spent” box on the event page

    • Original Amount: The amount of your pay based on the time of the event

    • Amount: The total of the Original Amount plus the Adjustment Minutes at your hourly rate

How to review the breakdown of a previous pay

  • Go to the Finance tab from the left-hand menu and select Timesheets

  • Go to the box on the page that says Timesheet Period

  • Click the x of the timesheet period listed

  • A list will pop up with previous pay periods

  • Select the one you’re looking for

  • Click on the Paid tab from the upper menu

  • This outlines all events you were paid for in that pay period
