Fill out the Google Form to request materials to be mailed and/or to reserve time in Q-Global. Please be sure to specify if you need a return label provided to the family so the documents can be scanned to you:

You will get an email confirmation once the assessment has been reserved and the request has been submitted to ship whatever materials were requested for you and/or the student.
You will receive an email with the tracking number for the mailed materials.
Complete the evaluation at scheduled times.
Write the Evaluation report within 5 - 7 days of testing and send it to the school (10 days for school psychologists).

NOTE: You are responsible as the provider and expert in your field or providing professional and accurate reports and documentation. Please double-check before you submit them to the school. If you have questions about HOW to write something in the report, please email your manager. (We will be gathering some exemplar versions of various reports as a resource in the near future and will share them with you once they are ready for you to use).
What is the process for mailed protocols?
Most psycho-educational, handwriting and visual motor assessments require protocols to be sent to the families.
These protocols are sealed in plastic and the family is reminded to only open the protocol in front of the practitioner to ensure validity is maintained.
Protocols require 7 business days to get to the family and there are times when the mail is delayed.
For this reason, practitioners should be ready to adapt the assessment and have a backup plan ready for assessing the student.
This could include having material ready for the family to print or having a separate assessment ready to give.
The family should also be prompted to use a document camera if it is available in order to allow the practitioner to have a view of the student from multiple angles.
At the end of the assessment, the practitioner should have the family take immediate pictures of the response booklets and text the pictures to the practitioner or alternatively, the family can hold each page up to the camera and the practitioner should then screenshot the page.
You can also request a return label be provided to the family so the documents can be scanned to you.
What assessments are in the Assessment List for Providers
The resources on the platform hold several assessments that are open source and able to be reproduced.
Exploring the assessment folder will allow practitioners to find assessments that are applicable to their client/discipline.
If there is an assessment that a practitioner possesses that is able to be shared by all, please add it to the correct section in the resources folder. Do not add any protocols protected by copyright to this folder.
How do I work in Q-Global?
Each practitioner will be sent a login for Q-Global in order to access the assessments housed on that website.
(BROWN EF/A, CELF 5, CELF META, GFTA 3, SENSORY PROFILE, VINELAND, BASC 3, EVT 2, PPVT 4, WIAT4, WISC V, WAIT, KABC, PEDI-CAT)
Q-Global inventory is shared between all clinicians. Please be sure to order the assessments you would like to use as soon as possible. These are reserved on a first come/first serve basis.
If the assessment is to be completed in Q-global you will need to do the following:
Log in to the Q-global platform.
On the home page under examinee, enter New Examinee.
Complete the demographic information:
Name
Examinee ID (should be the same as the school ID or the platform ID for individuals on the non-school side}.
Gender
Date of birth
Email address
Click on the evaluation tab and enter the reasons for testing and diagnoses (if known).
Click on the History tab and enter information on the referral source and these sections: personal, language, and developmental milestones, education levels, health, and employment.
After information on the examinee is completed, you will need to assign a new assessment: Assign the assessments you want to give and how you want to give them- remotely or direct administration.
Remote Administration: For an assessment that requires the parent or teacher's input like the sensory profile or Vineland you will use the Remote Administration. Complete the information for the remote assessment page and it will send the assessment by email. The clinician giving the assessment will be notified when the assessment has been completed and is ready for scoring.
Direct administration: For the assessments that require direct administration (GFTA, CELF, EVT, PPVT), assign the assessment with manual entry and you will be able to enter the data into the protocol in order for a report to be generated. For direct administration on the day of the assessment:
Log into Q-global prior to the assessment.
Go to the resource library.
Identify the test that is being implemented.
Locate the restricted folder. This is where the stimulus manuals reside. Open the stimulus manual on your computer.
Log into the HH platform and start your session.
Use screen share to share the manual with the client.
Share the mouse or pointer to allow clients to point to their responses.
What is the Process for having remote administration returned?
Practitioners send the forms to the family and have a notice sent to themselves.
They follow the link for the family and then copy the link for future reference.
The practitioner notifies the family either by phone, email or in the assessment so they know to complete the form.
If the form isn't completed by the second assessment or within a week, the practitioner gives the family another reminder and shares the Link with the school.
The case managers at the school follow up with the family and request the completion of the assessment.
This is helping in at least 70% of the cases. In the cases where we cannot get the family to complete the form, there are two choices.
Schedule a direct administration and go through the questions with the family.
Write the report without those results and indicate that an addendum will be added when the family completes their portion of the assessment.
How do I enter scores on Q-global?
Locate the examinee and select the assessment record.
Enter the correct demographic information and the raw scores.
Click Close and Save and then you can generate the report. To generate a report: Reports can only be generated with a status of “ready for reporting” or “report generated”.
Navigate to the reports tab and select “Generate a report for one examinee”.
Select the assessment record and click Configure Report.
The configure page will appear to allow you to select the report settings. Click Generate Report and select your report option format.
Click on Generate Report and then go to Report Download tab. From here you can click the download link.
Reports are generated as downloadable files and not stored in Q-global.
After generating the report, download it to your computer. (Note: If you need to regenerate the same report, you can do this at any time.)
Additional online assessments are available through WPS online services.
