Please use the below templates when reaching out to your clients about missed appointments.

Hi _____

I see missed you for our session today. I hope that all is well with you. Please let me know if (time and day) still works for you. If there are times or days that work better for you, please let me know so that we can try to accommodate. Our no-show/cancellation policy is that after three consecutive canceled or missed sessions, we will move to discharge. We want to prevent that from happening so if there is anything that we can do, please let us know!

Portal or Text Message:

Hi ______. I hope you are doing well. You missed your our session today. Does this day/time still work for you? If not, let me know and we can find a better time. As a reminder, our no-show cancellation policy is that if you miss or cancel three sessions in a row, we will move to discharge. We don't want that to happen, so please let us know if there is anything we can do!
