Transition to ADP TotalSource

(Effective August 1)

HelloHero transitioned to ADP TotalSource as our new HR and benefits platform effective August 1, 2025. As part of this change, we will move away from Rippling and Thatch and adopt a Professional Employer Organization (PEO) model with group insurance coverage.

This transition represents a significant upgrade to our HR infrastructure and employee benefits.


Why ADP TotalSource?

ADP is a global leader in HR and benefits, serving more than 1 million clients across 140+ countries. ADP TotalSource is the largest certified PEO in the United States, supporting over 500,000 worksite employees.

Through ADP TotalSource, employees gain access to:

  • Fortune 500–level benefits

  • Comprehensive medical, dental, vision, life, and disability insurance

  • 401(k) plans, mental health resources, and employee discount programs

  • A centralized system for HR, payroll, compliance, and time tracking

This transition also allows HelloHero to align its benefits year (August–July) with the school calendar, creating a more consistent and intuitive planning cycle.


Why the Short Notice?

Until recently, HelloHero did not meet eligibility requirements for large group insurance plans. Due to company growth and operational readiness, we were approved to join ADP TotalSource mid-year.

Once eligibility was confirmed, we chose to move forward immediately rather than wait for the next open enrollment period. This decision allows us to provide improved coverage and access to care sooner, particularly in a challenging healthcare environment.


What to Expect

  • Open Enrollment: July 21–28

  • Coverage Start Date: August 1

  • Live Information Session: Friday, July 18
    (A recording will be available)

There will be no disruption to coverage. Benefits will transition seamlessly, and employees will receive guidance throughout the enrollment process.


Continuing or Canceling Thatch Coverage

Thatch insurance plans are individually owned. Employees may choose to continue or cancel their plans independently.

To continue coverage:

  • Contact your insurance carrier directly.

  • Update your payment method to a personal card or bank account.

  • Employer-sponsored payments through Thatch will end in July.

To cancel coverage:

  • You must contact your insurance carrier directly.

  • Thatch cannot cancel individual plans, and coverage will not terminate automatically.

Employees will receive a Thatch offboarding notification with additional instructions.


How ADP TotalSource Benefits Work

  • Plan Year: June 1 – May 31

  • Deductibles and Out-of-Pocket Maximums (OOPM):
    Tracked on a calendar-year basis (January 1 – December 31)

Because HelloHero transitioned to ADP TotalSource mid–plan year, employees may receive credit for deductibles already paid to their prior insurance carrier.

To request a deductible credit:

  1. Complete the Anthem Deductible Credit Form (attached).

  2. Submit the form along with your Explanation of Benefits (EOB) from your previous carrier.

Going forward, Anthem will manage and track all deductible and OOPM amounts. These will:

  • Carry over into the new plan year beginning June 2026

  • Reset each January 1 in accordance with the calendar year

Employees are encouraged to review their records and submit the Deductible Credit Form if applicable.
